How do I add a user and copy permissions to them?


These features simplify user access management for clients with a business group and can help with the following cases:

 

  • Adding a new user who has the same or similar responsibilities to an existing colleague
  • Adding a new user to multiple entities 
  • Synchronizing access for similar types of users across different entities within a business group

 

Make sure you have the following permissions for every entity you will be adding a user to:
 

  • The Manage users permission and the associated right to View
  • The Manage permissions permission and the associated right to View
  • The Manage self-approved permissions permission and the associated right to View
  • The Manage users in service agreement permission and the associated right to View

Before you begin, make sure you have already created your user.

 

 

1. Adding a user to an entity

 

  1. Sign in to online banking for business.
  2. Select the main entity of your business group as the context.
  3. In the left menu under Administration, click Manage access . Then, click Manage user entities.
  4. Use the dropdown menu to search for and select a user.  
  5. Click the checkbox next to the entity or entities to which you would like to add your user. 
  6. Click Submit to confirm that you'd like to add the user to the selected entity or entities. 
  7. These changes do not require approval. Once submitted, they will take effect immediately.

 

Good to know:

  • Adding a user to an entity will not enable them to perform tasks for that entity. You must grant them permissions afterwards. 
  • If you can’t find the user you need, make sure they have been created and haven't been deleted.
  • To remove a user from an entity, uncheck the box next to the entity’s name.
  • If a checkbox is deactivated , it means the user is pending approval in that entity.  The requested changes must be approved or rejected in the entity’s Approval log before the user can be removed from it. 

 

 

2. Copying permissions
 

Important:
 

If you have the self-approval right, you will be able to approve the request(s) to copy permissions yourself by navigating to the entity or entities involved. Otherwise, make sure an administrator or user with the required access is available to approve your request(s).

 

  • Within Manage access, click the Copy user permissions tab.
  • In the User to copy dropdown, search for and select a user from whom you would like to copy permissions.
  • In the User to update dropdown, search for and select the new user you just added to one or more entities. Then, click Continue.
  • On the Select copy method page, select whether you would like to Add only new permissions to the new user, or Replace all existing permissions for them. Then, click Continue.
  • On the Select permissions to copy page, you will see that each job role associated with an entity appears on its own line.
  • Check the box for any job role – or, set of permissions – you would like to copy for the user. Then, click Continue. (Note that the approval level in the job role will also be copied, as will its associated account group (if one is listed).
  • Review the permissions that will be added, kept, and removed for the new user. Click Submit, or click Previous if any changes need to be made.
  • Once submitted, and after being approved in the Approval log of the entity or entities involved, the copied permissions will take effect for the new user.

 

Good to know:

  • If you can’t find a user in this step, make sure they have been added to at least one entity.
  • If you would like to cancel your request to copy permissions before it has been approved, an administrator or user with the required access must reject it in the Approval log tab of the entity or entities involved.
     

 

For clients with a single entity

These features are intended for clients with a business group. Clients with a single entity will find that a user is automatically added to the entity upon being created. Then, they can assign a job role to the user to grant them permissions, or copy one if the user doesn’t have any existing permissions.
